Enforced Absence (Bad Weather / Traffic Problems)

If employees are unable to get in to work because of external circumstances completely beyond their control such as heavy blizzards or serious traffic problems they must alert the Company as soon as possible (by 10.00 a.m. at the latest) by telephoning their line manager or leaving a message with Reception.

There is an information facility on the main company website – www.immunocore.com – for information about the weather conditions locally to Milton Park and to see if the buildings will be closed early etc.  This web site should be checked throughout the day for updates.

The Company will do its best to make sure that someone is available to take messages on the main telephone number – 01235 438600.  In extreme circumstances, if nobody is available on this number at Milton Park, staff should contact Paul Neweyon his mobile – 07810 773791. If he is unavailable, a message should be left on his voicemail.

If this is not possible – and only then – staff should send an email to HR@immunocore.com explaining their travel situation.  If no attempt is made to contact the Company the absence will be considered a day of unpaid leave.

Managers are asked to make sure that messages from staff are passed on to Reception.

When staff return to work they should decide together with their line manager how to account for the working time lost: the following options are possible, according to individual circumstances:

  • taking the time off as part of holiday entitlement;
  • taking the time off as unpaid leave;
  • making up the time over the succeeding weeks (probably only practicable for those who work part-time);
  • working from home on the day (this option would need to be discussed in advance with the manager, when given prior notice of the impending disruption).

In order to ensure that enforced absences are accounted for in a consistent way, the manager will confirm the final decision with one of the directors and then advise the Operations Manager how their member of staff intends to account for any time lost so that holiday records or monthly pay can be adjusted accordingly.
